The second meeting of the 2009 Markham Canada Day Committee convened at 6:00 p.m. with Councillor Carolina Moretti in the Chair.

1.      WELCOME

Councillor Carolina Moretti welcomed new members Chuan Li and Adam Poon to the committee. She also welcomed Dennis Flaherty, Manager Strategic Communications for the Town of Markham. Mr. Flaherty presented some draft designs of an “identifier” for Canada Day events, to be used in all ads and on promotional pieces to boost recognition of Canada Day events. Committee members suggested a number of possible revisions. A sub-committee of Cynthia Taylor-Huff, Wendy Lucas, Joanne Olson and Anna Rose, will work with Mr. Flaherty to draft two or three final versions for Committee review.

 


2.      ADOPTION OF THE MINUTES OF THE NOVEMBER 3, 2008 MEETING

 

THE MARKHAM CANADA DAY COMMITTEE RECOMMENDS:

 

That the minutes of the Markham Canada Day Committee meeting held on November 3, 2008, be adopted as distributed.

CARRIED

 

3.      2009 BUDGET

The document entitled Town of Markham Canada Day 2009 Budget as at January 19, 2009 was distributed and Joanne Olson reviewed the various budget items. It was agreed that lights will be charged to the Canada Day event budget, rather than to the Parks Department budget.

 

THE MARKHAM CANADA DAY COMMITTEE RECOMMENDS:

 

That the Markham Canada Day 2009 Budget be adopted as distributed.

4.      PLANNING FOR CANADA DAY 2009

 

a)      Theme

               It was agreed to use the 2008 theme: ”One Family, One Markham”, One Canada”.

 

b)      Timelines

Councillor Moretti’s office will prepare the timelines document and present it for review at the next meeting.

 

c)     Preview to Canada Day (Media Launch)

Cynthia Taylor-Huff reported that she is working with Markville Mall staff to make arrangements to hold the Preview to Canada Day event at Markville Mall on Saturday, June 13 from 1 – 2 PM. A variety of entertainment will be on hand to celebrate. Invitations will be sent to members of Council, local politicians and the media.  Cynthia Taylor-Huff will enter this event in the schedules of Council members. It was suggested that local personality Tom Brown (CTV News) be contacted and invited to attend.

 

Another event will be held for Town of Markham staff at the Civic Centre on Tuesday June 23 from 11:30 AM – 2 PM. Preliminary plans include a BBQ lunch and entertainment.

 

d)     Sponsorship

      Councillor Carolina Moretti and Councillor Alex Chiu are working on obtaining sponsorships for the Canada Day Event 2009.

 

e)     Advertising/Posters/Invitations

            Wendy Lucas will coordinate the plans for advertising, postcards, invitations, etc. It was suggested that, in recognition of the Barack Obama inauguration, the Committee invite the Consular General of the United States to attend the 2009 Canada Day events.

 

 

f)       Mayor’s Seniors Luncheon

Cynthia Taylor-Huff will follow up with Le Parc hotel to confirm it as the location of the Mayors Senior Luncheon. The menu will offer a main course of vegetable lasagne because it was enjoyed by many last year; strawberry shortcake is being considered as the dessert.

 

g)      Transit Arrangements

               Joanne Olson will coordinate the arrangements, similar to those in previous years.

 

h)      Parade

Antoinette DiNova, Jaswant Dhanjal and Javaid Khan will work together to coordinate plans for the 2009 Parade, including whether the Governor General’s Horse Guards should take part in the parade. It was agreed that the use of entertainment in the parade will be continued.

 

i)        Parking

Steve Matunin will report on this topic at the next meeting. Parking arrangements will be reviewed to ensure access for children’s performers. Canada Day event advertising should advise that the public is encouraged to park at Markville Mall and take free transit provided from there, because pubic parking is not available at Milne Park.

 

j)        Food Vendors

May Fung and Samuel Carr have been assigned to coordinate these plans. New member Adam Poon will assist and Joanne Olson has considerable information from previous years to offer.

 

k)      Stage & Sound

It was agreed to invite Perry Chan to the next meeting to discuss these arrangements.

 

l)        Entertainment

Mitch Reiss reported that Doo Doo the Clown will again be part of the Canada Day 2009 entertainment; he is willing to emcee and provide other entertainment as required. Mitch Reiss will coordinate the selection of local groups and other diverse entertainment. Wendy Lucas will contact the Mayor’s Youth Task Force to have it investigate the possibility of coordinating a Markham Idol contest.      

 

m)    Children’s Activities

Jeanne Bowman advised that many of the children’s activities have already been reserved at virtually the same cost as Canada Day 2008 activities. Chuan Li will be working together with Jeanne Bowman on the Children’s activities.

 

Councillor Moretti and Bob Walter will investigate the liability issues, and Joanne Olson will investigate the additional costs for special insurance, associated with offering an activity similar to a Jumping Castle.


 

n)      Fireworks  

It will be necessary to discuss with Perry Chan new possibilities for the fireworks display.

 

This is the last year of a three-year contract with the current supplier. The Town of Markham will tender for this service for the Canada Day 2010 event.

 

o)      Signage

Bob Walter reported that many of the signs used in 2008 are able to be used again. He would appreciate as much notice as possible for any new signs that are needed.

 

p)      Security

Joanne Olson reported that the arrangements are under control.

 

q)    Radio Station Participation

Willie Reiss will work with Councillor Moretti on this project. Jaswant Dhanjal and Adam Poon will provide contact information for multicultural groups.

 

r)       Heritage Grant

Councillor Moretti will arrange for Council approval so that the committee may apply for a Federal Government Heritage Grant.

 

s)       Volunteers

               This item will be discussed at the next meeting.

 

5.            OTHER BUSINESS

 

a)    Email list

A list of committee members and their email addresses will be attached to these minutes.

 

6.            DATE FOR NEXT MEETING

The next meeting of the Markham Canada Day Committee is scheduled for Monday, February 23, 2009 at 6:00 PM in the York Room at the Markham Civic Centre.

 

Committee members were asked to email regrets to either Wendy Lucas or Councillor Moretti if they are unable to attend a meeting.
