The third meeting of the 2010 Markham Canada Day Committee convened at 6:10 p.m. with Joanne Olson in the Chair. Councillor Moretti, Councillor Chiu and Councillor Kanapathi sent their regrets because they were requested to attend a special meeting called by the Mayor.

 

 

1.   WELCOME

      Joanne Olson welcomed Enzo Greco to the committee and advised that Mitch Reiss, Willie Reiss and Anna Rose have resigned from the committee. 

 


 

2.   ADOPTION OF THE MINUTES OF THE FEBRUARY 22, 2010 MEETING

 

      THE MARKHAM CANADA DAY COMMITTEE RECOMMENDS:

 

      That the minutes of the Markham Canada Day Committee meeting held on February 22, 2010, be adopted as distributed.

3.      PLANNING FOR CANADA DAY 2010

 

a)      Preview to Canada Day (Media Launch)

      Wendy Lucas reported that the Preview to Canada Day event will be held on Tuesday June 22, 2010 from 12:30 – 1:30 pm in the Great Hall of the Markham Civic Centre. Entertainment will likely be limited to one group. Town of Markham Councillors have been invited and invitations to other dignitaries will be sent soon. It is hoped that as many Committee members as possible will attend this event.

 

b)    Food Vendors

      Irene Tse reported that she is working with Richard Wilson to confirm food vendors for the 2010 Canada Day event; eleven groups have been confirmed to date. It is hoped they can attract vendors who will offer a variety of foods to reflect the population  diversity in Markham.

 

c)    Mayor’s Seniors Luncheon

      It was reported that plans for the luncheon are in place, except for entertainment. One or two groups will be invited to entertain the seniors. Jaswant Dhanjal will provide contact information for an Indian dance group. The Markham video will also be updated.

 

d)     Parade

      Antonette DiNovo reported that twelve entries have been confirmed for the parade. She  will also contact last year's parade groups to determine their desire to participate again. It was also advised that the Canadian Tamil Congress would like to participate. The Chinese Folk Group would like to participate in the parade and is requesting an earlier time slot on the Milne Park entertainment list. Requests for floats should be sent to Bob Walter, Operations. Antonette DiNovo will contact the Markham Economist & Sun for names of Olympic local athletes, torch bearers and the final Markham torch bearer; she will then contact them to encourage their participation in the Canada Day Parade.

 

e)   Children’s Activities

      Jeanne Bowman submitted invoices for various expenses. Supplies such as tattoos, flags, pins, and t-shirts for volunteers will be provided on Canada Day. Rob Hincks will advise on car passes for volunteers at the next meeting. Jeanne Bowman will contact Bob Walter regarding signs that will be needed. She advised that twenty volunteers will be required; they will need to arrive at Milne Park by 2:30 pm to assist with setting up the activities and to learn their role.

 

f)        Stage & Sound

      Richard Wilson reported that the stage layout will remain the same but there will be more lights and sound that will reach further, exciting enhancements. Rob Hincks, Operations, will be able to provide a generator to provide adequate  power.

 

g)  Media/Radio Station Participation

      No report was available.

 

h)      Entertainment

      Enzo Greco distributed a preliminary list of the planned entertainment which will start at 3:00 pm. It is hoped that the final list of entertainment can be presented at the next meeting.

 

i)   Volunteers

      Prashant Srichandramohan reported there is an additional box of t-shirts available for volunteers. He is contacting volunteers for last year's Canada Day events to determine if they are interested in volunteering again this year. Enzo Greco will provide names from the Markham Museum's volunteer list. Prashanth was also asked to advise volunteers for the Children's Activities that they should go directly to Milne Park and should not also volunteer at the Seniors Luncheon because the luncheon ends later than the time they are needed at Milne Park.

 

j)    Transit Arrangements

      Joanne Olson has completed the arrangements, similar to those in previous years. It is likely that ten shuttle buses will be required by the end of the evening on Canada Day.

 

k)       Security

Olivia Bella reported she is making arrangements for two police officers on bicycles; eight police officers will be used to enforce parking regulations in the areas around the park.

      She will follow up to ensure there is overnight security for the stage and other setups. York Region Emergency Medical Services (EMS) has been requested for both the Seniors' luncheon and the Milne Park events.

 

l)         Budget

      Matt Vetere reported that there has been no change to the budget presented at the last meeting. The budget report will be updated to include sponsorship funds and the Heritage Grant when they are received.

 

m)  Advertising/Posters/Invitations

      Wendy Lucas distributed drafts of the Canada Day postcard and posters for reviews and comment by Committee members. It was recommended that a footnote be added to these items to state that unauthorized fireworks will not be allowed in Milne Park.

 

n)   Sponsorship

      No report was available by the Councillors because they were requested to attend a special meeting called by the Mayor.

o)       Heritage Grant

      Joanne Olson reported that, on behalf of the Town, she has asked for an increased grant amount. The Town is usually notified in May or early June about its application for the Heritage Grant.

 

p)   Signage

      Committee members were reminded that as much notice as possible would be appreciated for any new signs that are needed; requests should be set to John Styles, Operations. It was recommended that a sign be prepared to advise people attending the Milne Park events that unauthorized fireworks are not allowed in the park.

 

q)       Miscellaneous

It was reported that Councillor Moretti would like to add an Olympic flavour to the Canada Day events. Richard Wilson will forward to Wendy Lucas the contact information for Nikki Yanofsky, the singer of "I Believe", the 2010 Olympics theme song.

 

 

3.         DATES OF FUTURE MEETINGS

   The next meeting of the Markham Canada Day Committee is scheduled for Monday, May 10, 2010 at 6:00 PM in the Canada Room at the Markham Civic Centre.
